Recommending a Legacy or Potential New Member


Any alumnae of Alpha Phi may recommend a potential new member for an Alpha Phi chapter. Our Recommendation Form introduces the potential new member to the chapter and provides the chapter with helpful information about the potential new member during the recruitment process. There are two ways to submit a recommendation form on behalf of a potential new member:

  •  Fill out the recommendation form electronically
  • Download and print the recommendation form

 

To Fill Out the Recommendation Form Electronically 

  1. Visit the online recommendation form by clicking here
  2. Fill out your information and be sure to include a valid email address
  3. Fill out the information on the potential new member to the best of your ability; please include the potential new member's e-mail address
  4. After you submit the form, the following will happen:
  5. You will receive a confirmation email
  6. The potential new member will receive an e-mail acknowledging that someone has recommended them for membership along with fun facts about the benefits of Greek life, the link to Alpha Phi's website, and the link to NPC's website
  7.  The chapter will receive an email notification with your recommendation attached

To Download and Print the Recommendation Form

  1. Download and print the Recommendation Form.
  2. Fill out the form to the best of your ability and knowledge of the potential new member.  You may send additional information such as a resume, photo, etc; however, these are not required.
  3. Mail the Recommendation Form directly to the collegiate chapter.  You may find the chapter addresses by visiting our Chapter Listing page.  All of our chapter addresses and recruitment dates are also listed in the Summer Quarterly.

 

Thank you for taking the time to recommend a potential new member!!  Alpha Phi continues to respect the tradition of membership.  While we do not guarantee membership to any legacy, we are diligent in ensuring that legacies and references are given extra consideration during the recruitment process.

Alpha Phi's Legacy Policy

A. Definition

A legacy is any granddaughter, great-granddaughter, daughter, stepdaughter, sister or stepsister of an initiated Alpha Phi member.

B. Invitation

All legacies will receive an invitation to the first invitational round of recruitment on campuses with more than one invitational event.

C. Preference

Any Alpha Phi legacy that accepts Alpha Phi's invitation to a preference party must be placed on the chapter's first bid list.

D. Releasing a Legacy

A chapter must have the approval of the Chapter Advisor or her designee to release a legacy.

 

Chapter and Alumnae Responsibilities

  • Alumnae recommending Legacies or potential new members have the following responsibilities:
  • Fill out the Recommendation Form to the best of her ability providing as much information as possible for the potential new member that is requested on the form
  • Send the chapter the Recommendation Form well in advance of the chapter's recruitment (dates are listed in the Summer Quarterly edition which can be found in the Members Only section)
  • Support the potential new member throughout the recruitment process

While some potential new members may report their Legacy status to the Panhellenic council, it is ultimately up to the alumna member to notify the chapter of a Legacy - not the potential new member or the Panhellenic council.

Chapters receiving Recommendation Forms have the primary responsibility to follow the Legacy Policy as stated above.  All chapters are continuously educated on Alpha Phi's Legacy Policy and the value of Legacies.

 

Contact with the Chapter

We encourage all chapters to notify alumnae when they receive recommendation forms.  However, when forms arrive at the chapter right before or during recruitment, the chapter may not have enough time to notify alumnae. 

 Alumnae will not receive any information about the status of any potential new member or information on the membership selection process.  All membership selection decisions are strictly confidential at the chapter level and will not be shared with alumnae.

Alpha Phi International Fraternity has provided a series of Web site development guidelines that have been designed to assist collegiate and alumnae chapters in creating their own Web sites. Information posted on Web sites must be in good taste and represent Alpha Phi well to anyone who accesses the site. Information published on the Internet is not confidential. Web site designers should ensure that all material on their chapter’s Web site is appropriate for any audience.

If you have any questions about setting up a Web site or any comments or questions about these guidelines, please contact the webmaster@alphaphi.org at the Alpha Phi Executive Office.

Why does Alpha Phi need website guidelines?
An Alpha Phi site has the potential to reach a wide audience and present a positive image to members and potential members, other Greeks and the general public. These guidelines should ensure that Alpha Phi Web sites contain appropriate material and live up to Alpha Phi standards. 

Guidelines for website development

Planning the Web site
When developing a website, keep in mind the purpose of the site. Is it to convey information to members about Alpha Phi or other Greek events? Is the site to be used to attract potential members?  
After your chapter has determined the purpose of the site and considered any Panhellenic guidelines for Web sites at your campus or in your community, a skeleton layout should be developed and the following questions should be considered:

      1. Does this site serve the intended purpose? If not, change it.
      2. Is Alpha Phi represented in good taste? If not, change it.
      3. Can any information posted jeopardize the safety and well-being of chapter members? If so, remove it.
      4. Does the site include the recommended “dos” and none of the “don’ts” (see below)?

Since your chapter will be represented to anyone who can access the Internet, it is a good idea to present the proposed website contents to the executive council/board and/or the whole chapter so they are aware of what will be displayed.

Set up
      1. All Alpha Phi collegiate and alumnae chapter Web sites should be registered with Alpha Phi International prior to activating your Web site.
      2. For the protection of each chapter and its members, any website vendors must be licensed with Alpha Phi.

Alpha Phi Web site pages should:
      1. Provide accurate and current information on the chapter
      2. Include the name and e-mail address of a contact person
      3. Include general information about Alpha Phi
      4. Reflect a positive image of Greek life
      5. Link to the Alpha Phi International site

      Some content suggestions for Alpha Phi Web site pages may include:
      1. A list of chapter or Fraternity events
      2. History of your chapter
      3. Scholarship information
      4. PR material
      5. Campus/community events
      6. Community service information
      
      Alpha Phi Web site pages should NOT include:
      1. References to alcoholic beverages or illegal drugs. This includes those in party photos, T-shirts, event names or beverage containers.
      2. Links to commercial sites or other organizations not directly associated with Alpha Phi or NPC (unless approved by Alpha Phi International).
      3. Endorsements for products (unless approved by Alpha Phi International).
      4. Product advertisements (unless approved by Alpha Phi International).
      5. Personal member information (i.e. name, phone number) without her written consent.
      6. Information that can jeopardize the safety of any chapter members.
      7. Private chapter or Fraternity business.
      8. Information on Alpha Phi rituals or ceremonies, including photographs of equipment.
      9. Copyrighted material from other sources or trademarks owned by third parties unless authorization has been obtained.
